Tents

Our frame tents are all "block-out white" and made of heavy 16 oz. vinyl. The tents have a 2" aluminum framework which means there is no center post. Ropes are anchored from the tent to the ground using stakes around the perimeter of the tent. Pricing includes frame and tent top, site recommendations, set-up and tear-down.
Our pole tents are the more traditional looking tents with center post(s) positioned down the middle which support and define the shape of the tent. The roof is tensioned over the poles and attached to ropes at designated spots around the roofs edges. The ropes are anchored to the ground using stakes around the perimeter of the tent. Our pole tents are all "block-out white" and made of heavy 14 - 16 oz. vinyl. Pricing includes tent top, site recommendations, set-up and tear-down.

Canopies
Our
canopies are 10' X 10' and are ideal for picnics and informal backyard parties.
They go up in seconds and are light weight for easy handling. Each canopy comes
with a carrying bag for easy transportation and four 50 lb. sandbags keep the
canopy secure. Canopies are not to be used for shelter, they are for shade
purposes only.

Important Tent Information
Installation Requirements / Site Preparation:
We will not abut a tent against a permanent structure (i.e. a house or garage). We must have 5' clearance on all sides to properly stake the tent for your safety. We have never, nor will we ever, use water barrels in place of stakes. Your safety, and that of your guests is our utmost concern!
To install a tent properly we need a flat, level surface free from trees, tree branches, overhead wires or other overhead obstructions. We need the outside dimensions of the tent plus five feet for proper staking, i.e. a 20' X 20' tent needs a space of 25' X 25'. We need easy access to the site where the tent is to be erected. Easy access means 100' or less from our truck to the site. If the distance is greater than 100', you need to notify us and let us survey the property prior to our arrival.
Please be sure your site is ready (i.e. lawns mowed, vehicles out of the way, etc.) before crew arrives. If you own a pet, two days prior to our arrival please clear the area of any animal feces and water the area down. Do not allow your pet in that area until after we have installed and removed the tent. If there is animal feces present on the ground, we will not set the tent up until the owner of the property has cleared the area of such animal waste. This includes access ways to the site.
We expect to set the tent up on grass and earth unless otherwise notified. If we arrive and find that we must set the tent up on asphalt or gravel, additional charges will apply which may include additional transportation fees to secure the necessary equipment to install the tent. We can not setup a tent on concrete. You grant us permission to charge these additional fees without notice.
It is important that you have determined where the tent is to be erected prior to our arrival. If you request us to move the tent to various spots at your site, additional charges will apply that are equal to the cost of the initial tent rental. Please know where your tent is going to be erected prior to our crew unloading it from the truck.
The client is responsible for informing Aardvark's Party Rentals of the existence of any underground utilities (i.e. phone or gas lines, septic system, etc.), or conditions that may interfere with the ability to stake and/or anchor equipment. The client assumes all responsibility for all damage to underground equipment in absence of such notice. IF IN DOUBT, CALL IUPPS* AT 1-800-382-5544 AND HAVE YOUR UNDERGROUND UTILITIES MARKED. *The customer must have the following information when calling IUPPS: a) Aardvark's name and address; b) the address of the tent installation site (dig site); c) the county and township of the tent site (dig site).
We highly recommend that tent sides not be installed unless absolutely necessary.
Delivery/Pickup Service:
Delivery service is available on all orders regardless of size. Additional delivery charges will occur for difficult delivery locations, excessive distance for loading and unloading trucks, specific delivery and pickup times, and after-hours delivery and pickup. Installation on asphalt or gravel will entail additional charges. We do not drive stakes through concrete. Delivery fees quoted may change after site inspection.
Orders are typically delivered 1-3 days in advance of your event while pickups occur 1-2 days following your event. You may request AM (8-12) or PM (12-4) delivery or pickup service and we will try our best to accommadate you.
Cleanup/Preparation for Pickup:
All floral arrangements, trash and decorations of any kind should be removed from tent before scheduled pickup time. Client is responsible for breakdown of tables and chairs unless previous arrangements were made. If our crew needs to move equipment or wait for equipment to be moved additional charges may apply.
Weather:
The client understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun and rain; however there may be situations, particularly those involving strong winds and lightning, in which the tents will not provide protection and may even be damaged or blown over. Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tent is erected. People must leave the tents and not seek shelter in tents during such conditions.
Because it may be difficult to determine if the weather is severe enough to necessitate evacuation, it is best to err on the side of caution. In other words, if in doubt, evacuate. It is clients responsibility to be aware of changing weather conditions and to exercise their best judgment with regard to the evacuation of the tents.
The client agrees that in the event of a predicted or actual storm or excessive winds, Aardvark's Party Rentals may dismantle any equipment that has been previously installed to ensure safety of all involved.
Indemnification and Defense:
The client shall indemnify and hold harmless Aardvark's Party Rentals against any loss, liability, damage to persons, things, expenses, livestock, merchandise or other items which it may incur by reason of any claim made by third parties while in, near or about said tents regardless of the cause thereof.
Permits
Please note that Aardvark's Party Rentals is not responsible for acquiring permits for the erection of tents. Please check with the local governmental body to determine if you need a permit to have a tent.
Additional Charges:
Additional charges may apply if:
- The site is not ready or accessible when the crew arrives
- There is other than earth and grass to set the tent up on
- The tent and rented equipment is not ready for prearranged pickup
- Delivery or pickup is from any location other than ground level (upstairs or downstairs)
- Customer requires pickups before or after normal business hours
- Specified delivery/pickup times
